Many marketplace listings fail to fulfil compliance even when you put enormous effort into them. Why? Because what you consider “complete” versions of product data is defined internally. Different marketplaces enforce different standards, so your documentation must display channel-specific validity. Those standards typically include criteria like:
- Taxonomy alignment
- Controlled vocabularies
- Identifier integrity
- Image rules
- Character limits
- Timing checks
If you ignore or misunderstand those requirements, you’ll have to keep reworking feeds, chasing unexplained errors, and missing sales opportunities, all while the catalogue looks “green for go!” on your dashboards.
The nub of the issue is that this problem is a data failure, not a workload failure. What’s more, the severe operational consequence is repeated rejection and channel suppression. The commercial impact is a lack of search visibility, overlong time to market, and too many preventable returns.
The fundamental data failure: “complete” is regarded as box-ticking, not a pass or fail score
The majority of PIM or ERP completeness metrics confirm only that a field contains something. Unsurprisingly, marketplaces don’t care that a field is simply filled. They need it to be filled correctly for a given category, locale, and policy set.
Here are a few common examples of data which doesn’t fulfil completeness records for popular channels:
- Controlled vocabularies: your internal values (“available,” “yes,” “Midnight”) don’t match channel values (“in stock,” “Dark Blue”)
- Format rules: titles exceed character limits, bullets include restricted phrases, units are inconsistent (g vs kg), decimals are invalid, or fields contain mixed text and numbers where only a numeric value is permitted
- Identifier standards: GTIN/EAN/UPC is missing, invalid, reused, or incorrectly assigned to a variant
- Category-specific requirements: you have data for general attributes, but not the mandatory attributes demanded for that node in the marketplace’s taxonomy
When a marketplace rejects a listing, it’s usually exposing a predictable gap between your internal schema and their external schema.
The silent assassin – Channel taxonomy mismatch
You can have the richest of enriched data but still fail the standard simply because the item is mapped to the wrong category node (that is, the specific, named location within a hierarchical structure which organises products by characteristics). Marketplaces behave differently by node, so any slight misclassification ends up:
- Triggering a different mandatory attribute set
- Invalidating your existing attribute values
- Causing the platform to ‘correct’ your categorisation and drop attributes which no longer apply
The operational pattern is familiar: the feed apparently uploads successfully, but when it is published, content is truncated, attributes disappear, or in the worst case, the listing is suppressed. That leaves teams chasing the symptoms (which usually involves fixing fields) rather than fixing the root issue – the mapping logic.
‘Sent’ is not ‘published’: the syndication blind spot
Many teams treat a trouble-free export as ‘success.’ Case closed. Only, it isn’t. Marketplaces interpret data after ingestion, and then apply defaults, merge contributions on shared listings, and sometimes even override your content based on their own hierarchy.
This creates the most damaging failure mode: you have no visibility regarding the difference(s) among:
- what the PIM says you sent
- what the feed tool says was accepted
- what the marketplace actually published on the live listing
Without this data reconciliation step, you’ll only discover these problems when revenue starts to fall, you experience a spike in customer queries, or you receive an account warning.
Crawl[1]-check and timing failures (especially for Google)
Certain channels and marketplaces validate against your site, not just your feed. That’s when price and availability mismatches often occur, because the two systems are out of sync:
- website prices update faster than the feed refreshes
- caching delays cause the crawler to see old values
- promotions change in one system but not in the other
As such, the data can appear to be ‘complete’ in both places, yet it still fails because the channel checks using the criteria of consistency at the precise time of crawl, not just your internal truth.
High-quality images are a compliance domain, not an asset checkbox exercise
Images are a ubiquitous cause of failure. Teams often treat them as ‘present/not present,’ but marketplaces are very particular about digital assets, enforcing strict rules on:
- background and composition (such as white background requirements)
- minimum resolution and aspect ratios
- prohibition of watermarks, overlays, or promotional text
- stable URLs (broken links will fail, regardless of record quality)
Moreover, beware of supplier-sourced imagery because its default format is often non-compliant. If you don’t validate image standards upstream, you will condemn yourselves to constant resubmissions.
Why this keeps happening: channel requirements are ignored or misunderstood
The root cause is that channel requirements are either not captured in your data model, not translated correctly, or not enforced through validation rules and workflows. Three gaps in governance lie behind the majority of repeated failures:
- No channel-specific profiles: a single ‘master record’ gets exported everywhere. One size does not fit all when diverse channels need different fields, formats, and text lengths
- No pre-upload validation checks only happen after rejection, so rework is pretty much guaranteed
- No ownership, no accountability: nobody owns ‘readiness for Amazon’ or ‘Google compliance check’ as a measurable responsibility, so rules simply drift and templates go stale.
Fix it in sequence: Stabilise, standardise, and enforce
1) Stabilise: stop rejection and suppression cycles
- Define channel-critical fields (GTIN, category mapping, title/bullets, key attributes, primary image) and treat them as publish-gated
- Implement live listing monitoring: compare published content to source-of-truth fields, not just exported payloads
- Quarantine high-risk supplier feeds that overwrite controlled fields without review
2) Standardise: build channel-ready structures
- Create channel data profiles (like: ‘Amazon Title,’ ‘Amazon Bullets,’ ‘Google Product Category,’ ‘Google Availability’) each equipped with explicit formats and limits.
- Maintain a mapping layer: internal taxonomy èchannel taxonomy nodes, along with version control
- Use translation tables for controlled vocabularies (such as internal colour terms è channel-approved values)
3) Enforce: make compliance automatic
- Add ‘pre-flight’ validations per channel and category node (allowed values, unit rules, character limits, image checks, identifier integrity)
- Implement approval gates for any changes to taxonomy mappings and channel templates
- Close the loop: Any reasons for feed rejection and/or suppression must create diagnostics tasks which will then update the product record, supplier templates, and validation rules
